StudentQR’s WhatsApp number only sent notifications. When teachers replied with questions, nobody saw them, so schools chased the support team for every order and delivery update. When a message failed to reach a school, nobody knew. Keeping up took a support team of 24.

An AI assistant that answers first, and brings in a person when it matters

Zahra is StudentQR’s AI assistant on WhatsApp. It reads each teacher’s message, answers the everyday questions from StudentQR’s own guides, and replies in seconds, at any hour.

When a question needs a person, Zahra hands it to the support team with the teacher’s name and number. Support swipe-replies from their own phone, and Zahra delivers the answer to the right teacher. Nobody needs a second phone or a new app.

Answers in seconds, at any hour

Teachers get an answer while they are still holding the phone, including evenings and weekends when nobody is on shift.

Knows its limits

Reprints, refunds and anything unusual go to a person. Zahra says so, and the teacher is never left guessing.

Replies find their way back

WhatsApp says which message a reply was to. Zahra uses that to find the teacher, so support never has to copy a number.

Handles the 24-hour rule

WhatsApp only allows free replies within 24 hours. After that, Zahra switches to an approved template, so the message still arrives.

Never fails quietly

If a school’s number isn’t on WhatsApp or a message is refused, the team gets an alert straight away instead of a school left waiting.

Every message a school gets

Updates that send themselves

StudentQR’s team works in Monday.com boards. When an item changes, for example an order moving to printing or delivery, the right WhatsApp message goes to the right teacher, in Malay, with the details filled in. Support gets a copy of each one, so they can see exactly what the school was sent.

The school’s order is confirmed back to them, with the details they submitted.

One source for every template

Each message’s wording is defined once. Moving off n8n uncovered a template that had been swapping the courier and tracking number for every badge delivery. It is now fixed for good.
